Job Overview

Manages and coordinates the process of office openings and relocations within our existing branch network. Acts as a liaison between corporate and operations personnel. Oversees corporate mailroom function. Supervises and trains appropriate staff.Job Duties and Responsibilities
  • Supervises tasks performed within the Facilities and Branch Services department, including the mailroom; provides guidance and assistant to department personnel
  • Works with appropriate personnel to develop corporate standard for branches (space needs, rent pricing, furniture layout, branding, etc.)
  • Uses mapping software and demographic data to support leasing decisions
  • Assists with identifying and recommending site locations for new branches and develops area rent pricing information. May work with local real estate brokers to find and secure locations.
  • Works with identified landlords to start negotiations related to leases and up fitting, as well as negotiations with any contractors to obtain bids and necessary paperwork
  • Oversees lease administrator, ensuring new and renewable leases are properly handled
  • Responsible for obtaining all legal and Company required documents such as W-9's, vendor contracts, amendments, insurance certificates, confidentiality agreements, etc.
  • Coordinates with other departments and external vendors to ensure all new and relocated branches have proper furnishings, equipment, supplies, signage, etc.
  • Ensures each branch complies with the approved footprint with respect to office size, space allocation, computer set-up, furniture supplies, flooring, paint, signage, etc.; handling design and layout to produce a professional appearance
  • Coordinates branch repairs by coordinating with local landlords/contractors/vendors
  • Develops and oversees tracking and documentation process; ensuring compliance with all necessary documentation for state, federal, and company requirements and to allow for timely follow-up
  • Manages assigned vendor relationships for procurement services
  • Monitors and recommends process, equipment and vendor improvements for efficiencies, better pricing, and service quality

Job Requirements

  • 5-7 years of experience in property/facilities management and/or operational services
  • Previous management experience
  • Experience working in a multi-worksite setting
  • Working knowledge of applicable laws such as landlord/tenant, contracts, State Environmental Control, OSHA or state equivalent.
  • Familiar with GIZA office design software a plus
  • Proven proficiency with negotiation of contracts and agreements, reading contracts
  • Ability to understand blue prints, CAD drawings, or other design renderings a plus
  • Experience using furniture design layout and mapping software
  • Computer literate
  • Property management or commercial real estate experience preferred
